Gradebook Troubleshooting Guide
(and a couple handy tips!)

All of your student scores and gradebook comments should be recorded in your Schoology gradebook. From there, the data syncs to your PowerTeacher Pro gradebook so that official grade reports (progress reports, report cards, and transcripts) can be generated and reported to the New Mexico Public Education Department. For this reason, it is imperative that you check for accuracy between the two gradebooks (Schoology and PowerTeacher Pro). Sometimes, you may discover that there are discrepancies between the two. When that happens, please use this troubleshooting guide to investigate and try to resolve the issue(s) before submitting a support request. 

Syncing Issues? Grades Not Matching?
Try these fixes:

You can sync updates and changes by clicking the sync icon from your gradebook itself or from the Sync Status Log. 

The Sync Status Log can be accessed from the gradebook by clicking the clipboard icon next to the sync icon, or by opening the PowerSchool App in the left-hand sidebar of your Schoology course.  You can also manually sync (or re-sync) specific assignments by clicking the sync icon next to the assignment name in the Sync Status Log.  

PLEASE NOTE: If an assignment shows "Successful" in the Sync Status Log, it just means that the last sync of that particular assignment was successful. If there are changes, updates, or new scores recorded, they will always still have to be manually synced regardless of the status showing in the log.

If an assignment does not sync successfully, you can usually view an error message to learn more about why it failed to sync. The Sync Status Log can be accessed from your Schoology gradebook by clicking the clipboard icon or through the PowerSchool app in the left-hand sidebar of your Schoology course.  The sync status of each assignment in your gradebook is listed in the log and if there is an error, you can hover over the words "View Error" to see the error message. Sometimes this message will alert you to the fact that a category has not been assigned (or configured to PowerSchool) or that something else is missing or needs attention.

✅ Check to make sure that your assignments are set up properly to sync with PowerSchool.

Use the Bulk Edit feature from your Schoology gradebook to see assignment profile details for all of your assignments in one place. (You can access Bulk Edit list by clicking the 3-dot menu to the right of the "+" and selecting Bulk Edit.) While scanning the Bulk Edit list of your assignments, check for categories, due dates, point values, etc. to make sure everything is accurate. It can also be very valuable to match up the Bulk Edit details to the corresponding Assignment List in PowerSchool to make sure everything matches up. If you find discrepancies, fix them and re-sync.

✅ Check to make sure your grading categories are properly configured to PowerSchool.

In order for grades to sync to PowerSchool, assignments must have a grading category that has been properly configured to the corresponding category in your PowerTeacher Pro gradebook. This configuration should have been set up during the BOY Schoology Setup procedures you completed prior to the start of school, but if it wasn't, or if you have recently added a new category that needs to be mapped, you can  find more information about configuring the PowerSchool Teacher app in this Schoology support document:

If you make any changes to the category configurations, you may have to manually sync your gradebook for changes to take affect in PowerSchool.

✅ Check to make sure your assignment titles are being trimmed to PowerSchool specifications.

PowerSchool limits the assignment titles to just 50 characters. Unless you have configured the PowerSchool Teacher App to automatically shorten assignment titles, assignments with longer titles will not sync. If you make any changes to the configurations, you may have to manually sync your gradebook for changes to take affect in PowerSchool.

✅ Check to make sure your assignments have due dates set within the appropriate grading period.

Items sync based on due date. So, if an item is associated with Q1 in Schoology with a due date in the future, it may sync with a due date that places it in Q2 in PowerSchool.  If an item does not have a due date, it will sync to the last day of the grading period to which it's associated. If no grading period is associated, it will sync to the last day of the course.

If you make any changes to due dates, you may have to manually sync your gradebook for changes to take affect in PowerSchool.

✅ Check to make sure categories are set up properly.

Go to Grade Setup in your Schoology course and make sure your categories are set up correctly.

If you make any edits to Schoology categories, you may need to manually sync your gradebook for the updates to take affect in PowerSchool.

✅ Check to make sure that the point values set for each assignment match between the two gradebooks.

If you change the point value for an assignment after it has already synced to PowerSchool, the adjusted point value will not update in your PowerTeacher Pro gradebook. This will cause calculation discrepancies in the students' final grades. The only way to correct this is to delete the original assignment from the PowerSchool side and then manually resync the assignment from Schoology.

✅ Check to make sure you don't have "orphaned" or duplicate assignments appearing in PowerSchool.

When you delete an assignment from Schoology, you also need to delete it from PowerSchool, but sometimes people forget. If you have an "orphaned" assignment that appears in PowerSchool but not Schoology, you should delete it.  Sometimes, these "orphaned" assignments even appear as duplicates if you deleted an assignment in Schoology and then created a new assignment with the same name (but didn't delete the original in PowerSchool).  If you see duplicate assignments in PowerSchool, it is important to determine which instance has accurate data (matched with Schoology) and delete the others. 

✅ Check to make sure you haven't unpublished any graded work.

When you unpublish graded work in Schoology, it removes it from the gradebook and is no longer calculated in the overall grade. However, the unpublished assignment will likely still appear in the PowerTeacher Pro gradebook and is calculated in the overall grade, creating a discrepancy in grades. It is very important to leave graded work published in Schoology. 

An easy way to check to see if you have unpublished graded work is to use "Bulk Edit" to scan all graded work (including assignments that do not appear in the gradebook). Published assignments are indicated with either a blue checkmark in a column under a tiny green circle or a green circle next to the due date. Unpublished assignments are indicated with an unchecked box or an uncolored circle next to the due date. To publish an assignment from the Bulk Edit screen, simply click the checkbox or uncolored circle to turn it green. (To get to "Bulk Edit," go to the 3-dot menu to the right of the "+" icon in your gradebook and select "Bulk Edit.")

⭐ TIP: Sometimes, recalculating final grades in PowerSchool fixes grades that don't match up!

Sometimes, the overall grades that appear in PowerSchool are simply just wrong. We have no idea why this happens or where the miscalculations come from, but luckily there is a fix! If you see overall scores in PowerSchool for some students that just don't match up to the overall scores in Schoology, try this:

From the Scoresheet in PowerTeacher Pro, click on the gear icon and select Recalculate Final Grades. Then click the Recalculate Final Grades button. Then hold your breath, cross your fingers, and check to see if maybe that did the trick! 😉

⭐ TIP: Sometimes, deleting an assignment in PowerSchool and re-syncing is magic!

Occasionally, things just get a bit wonky when syncing to PowerSchool. If you have checked for and eliminated all of the potential issues listed above but you still have an assignment that just doesn't seem to be syncing properly, try deleting the assignment from your PowerTeacher Pro gradebook and then manually re-sync from Schoology. Sometimes, this fixes whatever quirky thing wasn't working before. (On rare occasions, we've even recommended deleting several or all assignments from PowerSchool and re-syncing the whole thing!) 

Whatever you do - DO NOT DELETE ASSIGNMENTS IN SCHOOLOGY and start over! That will just create extra work for you and likely is completely unnecessary.
